Destination CME
Payment Terms
A minimum deposit of 50% of the registration fee is required to reserve your seat at the conference. Registrants will receive an invoice upon registration.
The remaining balance must be paid in full by March 1, 2027. Registrations with outstanding balances after this date may be subject to cancellation and forfeit of reserved conference space. OAOP reserves the right to release unpaid registrations to attendees on the waiting list.
Expenses Not Included in Registration Fee
I understand that the following expenses are not included in the conference registration fee and are my sole responsibility to arrange and pay:
- Hotel accommodations, resort fees, and applicable taxes
- Airfare, baggage fees, airport parking, and transportation to and from the airport and resort
- Meals and beverages not specifically included in the conference agenda
- Guest registration fees, including admission to the Welcome Reception
- Excursions, tours, recreational activities, and personal expenses
- Travel insurance and other optional protections
Cancellation & Refund Policy
Due to the advanced contractual commitments required for destination events, OAOP follows the refund schedule below:
- Cancellations received by April 6, 2027, are eligible for a 75% refund of the registration fee.
- Cancellations received by April 7-May 6, 2027, are eligible for a 50% refund of the registration fee.
- No refunds will be granted for cancellations received May 7, 2027 or after.
All cancellation requests must be submitted in writing to meetings@oaop.org. If you do not receive confirmation of receipt within one business day, please call (405) 524-1075.
Registrations may be transferred to another individual attending the same conference at no additional charge, unless there is a rate difference for membership status. Requests for substitutions must also be submitted by email and must be completed two weeks prior to the start of the conference.
Attendees are responsible for canceling their own airfare, hotel accommodations, travel arrangements, excursions, and any other travel-related expenses. OAOP is not responsible for fees, penalties, or losses assessed by third-party providers.
Conference Cancellation or Modification
OAOP reserves the right to modify the conference schedule, speakers, educational content, venue arrangements, or other event details as circumstances warrant.
In the event OAOP cancels the conference, attendees will receive a full refund of registration fees paid within 30 days of the cancellation date. OAOP is not responsible for airfare, hotel reservations, travel expenses, or other costs incurred by attendees.
Force Majeure
OAOP shall not be liable for delays, changes, or cancellations of the conference resulting from circumstances beyond its reasonable control, including but not limited to acts of God, hurricanes, severe weather, natural disasters, public health emergencies, government actions, labor disputes, terrorism, or other unforeseen events. Refunds, if any, will be determined based on OAOP’s contractual obligations and recoverable expenses.
Travel Insurance
Because this is a destination event, OAOP strongly recommends purchasing travel insurance.
Photography and Recording
By attending the conference, participants grant OAOP permission to use photographs, video recordings, and other images captured during the event for educational, promotional, and marketing purposes unless a written request to opt out is submitted prior to the conference.
Assumption of Risk
Attendees voluntarily participate in conference activities and assume responsibility for their own health, safety, and personal belongings. OAOP is not responsible for injury, loss, theft, damage, or delays arising from participation in the conference or related activities.
